This notice explains what personal information Insolvensee holds, why, and what you can do about it. It covers this website, emails to and from us, people we contact about our service, customer lists sent to us for a free check, and the public notices our service reads.

Our service opens to customers in December 2026. We will update this notice before then to cover customer accounts, alerts by text and email, and payments.

If you email us

We keep your name, email address, what you write and our replies, so that we can answer you and keep a record of what was said. Our lawful basis is our legitimate interest in running our business and responding to the people who contact us. We keep this correspondence for 24 months after our last contact with you, unless it becomes part of a customer account.

If we contact you about our service

We may email people in businesses that supply goods or services on credit, and people at trade associations, buying groups, bookkeeping and accountancy practices, and credit insurance brokers, about our service and our free monthly insolvency notes.

  • What we hold: your name, job title, business email address and the business you work for.
  • Where it comes from: your organisation's own website, a business directory or trade association listing, or details you have published yourself. We tell you the source in our first email.
  • Why, and our lawful basis: our legitimate interest in telling businesses about a service relevant to their work. We email people at companies and other incorporated bodies; we do not email sole traders or ordinary partnerships without their consent.
  • How long: if you do not reply, we stop after at most three emails and delete your details 12 months after our last email. If you ask us not to contact you again, we keep only your email address on a do-not-contact list so that we never contact you again.

You can object to these emails at any time, and we will stop. Reply "stop" to any email, or write to the address above. Your right to object to direct marketing is absolute.

If you send us a customer list for a free check

A customer list is mostly the names of companies, which are not personal information. It may also include sole traders, partnerships or named contacts, whose details are personal information.

  • What we do with it: we check each name against The Gazette and the Companies House register and send you the result. To do this we search the Companies House register for each name.
  • What we do not do: we do not use your list for anything else, add the people on it to any marketing, share it or sell it.
  • Our lawful basis: our legitimate interest, and yours, in checking whether a business you trade with has had an insolvency notice published. You confirm when you send it that the list is of businesses you trade with or are considering trading with.
  • How long: we delete your list and our working copy 30 days after we send you the result, or sooner if you ask. If you then subscribe, it becomes part of your account.

Information from public registers

Our service reads corporate insolvency notices published in The Gazette and company records published by Companies House. Some notices name individuals, such as company directors and the insolvency practitioners appointed to a company. We store notices as they are published, so that every alert can be traced to its source.

Our lawful basis is legitimate interests: the interest of businesses in knowing when a company they trade with enters an insolvency procedure. We hold only what the registers publish, we do not combine it with other information about the individuals named, and we keep each notice for 24 months. We report what has been published; we do not score, rate or make any judgement about any company or person.

Who we share information with

We do not sell personal information. We use these providers to run our business, each under a written agreement that limits what they can do with it:

  • Hetzner Online GmbH, which hosts our servers in the European Union.
  • Proton AG, Switzerland, which hosts the mailbox that receives email sent to us.
  • Google, which provides the mailbox (Google Workspace) we use to email businesses about our service. These emails come from a separate email domain that names Insolvensee.
  • Postmark (ActiveCampaign, LLC), which sends our automatic emails, such as replies confirming we have received a customer list.

Some of these providers process information outside the UK. Where they do, the transfer is covered either by UK regulations recognising the destination as adequate (as for Switzerland and the European Union) or by the safeguards in the provider's data processing terms. We will add any further provider to this list before we use it.

Your rights

You have the right to ask for a copy of the personal information we hold about you, to have it corrected or deleted, to restrict how we use it, to object to how we use it, and to receive it in a portable form. Write to the address in "Who we are". We will respond within one month.

Complaints

If you are unhappy with how we have handled your information, please tell us first, at the address above. We will acknowledge your complaint within 30 days, and a person, not an automatic reply, will deal with it.

You can also complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint, or 0303 123 1113.
